Chapter 9: QR Online Ordering — 9.1 Menu Setup

Use Menu Setup to create menu presets for your QR ordering system. Each preset is a collection of products grouped and ordered the way you want customers to see them.

When to use this: When you need to configure which menu items appear on your QR ordering or online ordering page.

📝 General Description

This page displays all configured QR ordering menu presets in a data grid. Each preset is a curated selection of products that customers see when scanning a QR code or accessing the online ordering link. Multiple presets can be active simultaneously, allowing different menus for different times, occasions, or outlet types.

9.1.1 Data Grid Columns

9.1.2 Add / Edit Menu Preset

Product Assignment

The bottom section of the form allows you to add products to the menu preset:

Products within a menu can be organized into display categories:

9.1.3 Menu Activation Logic

Today's Date vs. Menu Date Range

If today >= "Applicable From" AND today <= "Applicable To"
    → Menu is ACTIVE → visible to customers

If "Applicable From" is blank → Active immediately
If "Applicable To" is blank → Never expires
If both blank → Always active

[!NOTE] Multiple menus can be active simultaneously. The customer sees all active menus combined on the QR ordering page, organized by their respective categories.

How to Edit a menu preset

  1. In the Menu Setup page, find the menu preset you want to change.

  1. Click the blue preset name link. The edit form opens — it looks the same as the "Add New" form, but all fields are already filled in with the current values.

  1. Change the fields you need to update.

  2. Click Save to apply your changes.

Expected Result: The menu configuration is saved.

[!TIP] To make changes, just click the name of any menu preset in the list — the same form opens with everything already filled in. Change what you need and click Save.


💡 Example

Scenario: A café wants to run a limited-time "CNY Special" menu during Chinese New Year (Jan 25 – Feb 8) alongside their regular menu.

Setup:

  1. Navigate to Menu Setup → Click + Add New.

2. Enter:

  • Name: CNY Special 2027
  • Description: Limited-time Chinese New Year festive items
  • Type: All (available for dine-in, takeaway, and delivery)
  • Applicable From: 2027-01-25
  • Applicable To: 2027-02-08
  1. Add products: Prosperity Burger, Mandarin Orange Smoothie, Yu Sheng Platter.
  2. Set display order: Yu Sheng Platter → 1, Prosperity Burger → 2, Mandarin Orange Smoothie → 3.

5. Click Save.

6. The menu automatically appears on the QR ordering page starting Jan 25 and disappears after Feb 8 — no manual activation needed.

[!TIP] Create separate menu presets for different occasions (e.g., "Lunch Menu", "Happy Hour", "Weekend Brunch"). This makes it easy to reuse menus year after year — just update the date range. Products can appear in multiple menu presets simultaneously.

[!IMPORTANT] Products added to a menu preset must have a valid retail price and must not be marked as deleted. Products without images will still appear but won't look as appealing to customers — always upload product images for QR ordering menus.

[!NOTE] Exact permissions depend on the Privileges Setup configured for each role. Contact your administrator if you cannot access this page.


Business Rules

  • Records that are linked to active transactions or other modules cannot be permanently deleted
  • Changes made here will take effect on POS terminals after the next sync
  • Deleted records can be restored from the list using the Show Deleted filter
  • All changes are logged with the user who made them and the timestamp

How to Delete a Menu

  1. Navigate to Menu Setup from the sidebar menu.

2. Click the name or code link (blue text) of the record you want to delete. 3. In the edit form, scroll down to the bottom.

4. Click the Delete button (red button). 5. A confirmation dialog appears — click Yes to confirm deletion.

Expected Result: The record is soft-deleted — it is hidden from the active list and POS terminals but can be restored later using the "Show Deleted" filter.

[!WARNING] Records linked to active transactions or other modules cannot be deleted. The system will display an error if deletion is not allowed.


How to Add a New Menu

  1. Navigate to Menu Setup from the sidebar menu.

  1. Click the + Add New button (green button).

  2. Fill in the required fields in the form.

  1. Fill in any optional fields as needed.

  2. Click Save to create the new menu.

Expected Result: The new menu appears in the list and is available for use across the system.


FAQ

Q: Why is the QR menu not updating for customers? A: Changes to the online menu require a save and may take a few minutes to propagate. Clear the browser cache if testing.

Q: Can I have different menus for different outlets? A: Yes. Each outlet can have its own menu configuration in Menu Setup.

Q: How do I temporarily disable QR ordering? A: Toggle the ordering feature off in Ordering Setup for the specific outlet.
