Chapter 9: QR Online Ordering — 9.2 Online Menu Setup

Use Online Menu Setup to create the menus your customers see when they scan a QR code to order. You can create different menus for different outlets, time slots, or occasions — and control exactly which products appear.

When to use this: When you need to set up or update the online menu that customers see when they scan your QR code.

Online Menu List

📝 General Description

The Online Menu list shows all configured menus with their assigned outlets. Each menu defines the name, description, sales channel, and banner image for one outlet's online ordering page. Click a menu name to edit its configuration.

9.2.2 Add / Edit Online Menu

Clicking + Add New or a menu name opens the configuration form:

9.2.3 How to Create an Online Menu

  1. Navigate to QR Online Ordering Setup → Online Menu Setup.

2. Click + Add New.

3. Enter the Menu Name (e.g., "Main Menu").

4. Optionally add a Description (max 140 characters). 5. Select the Outlet from the dropdown.

6. Select the Sales Channel from the dropdown.

7. Upload a Banner Image (recommended: 540 × 300 px, 9:5 ratio).

8. Click Save.

Expected Result: The online menu is saved.

9.2.4 How to Edit an Online Menu

  1. Click on the menu name in the list.

2. Update the desired fields. 3. Click Save.


9.2.5 Menu Publishing Flow

Online Menu Setup (this page) → defines menu name, outlet, banner

Menu Builder (Section 10.3) → adds products to the menu hierarchy

Ordering Setup (Section 9.3) → enables ordering for the outlet

Payment Gateway (Section 9.4) → enables online payment

Layout Setup (Section 9.5) → customizes the visual theme

Customer scans QR code → sees the published menu → places order

💡 Example

Scenario: A restaurant wants to set up a QR ordering menu for their main branch.

Setup:

  1. Click + Add New.

2. Menu Name: "Main Menu". 3. Description: "Order food & drinks from your table". 4. Outlet: Select "Jay" (main branch).

5. Sales Channel: Select "EQuipOrdering".

6. Upload the restaurant's banner image (540 × 300 px).

7. Click Save.

8. Next: Go to Menu Builder (Section 10.3) to add products to this menu.

[!TIP] The Description field (140 chars max) appears below the banner on the customer ordering page. Keep it short and action-oriented — e.g., "Browse our menu and order directly from your table."

[!IMPORTANT] Creating an online menu here only defines the menu shell. You must also configure the Menu Builder (Section 10.3) to add actual products, and enable the outlet in Ordering Setup (Section 9.3) for the menu to go live.

[!NOTE] Exact permissions depend on the Privileges Setup configured for each role. Contact your administrator if you cannot access this page.


Business Rules

  • Records that are linked to active transactions or other modules cannot be permanently deleted
  • Changes made here will take effect on POS terminals after the next sync
  • Deleted records can be restored from the list using the Show Deleted filter
  • All changes are logged with the user who made them and the timestamp

How to Delete a Online Menu

  1. Navigate to Online Menu Setup from the sidebar menu.

2. Click the name or code link (blue text) of the record you want to delete. 3. In the edit form, scroll down to the bottom.

4. Click the Delete button (red button). 5. A confirmation dialog appears — click Yes to confirm deletion.

Expected Result: The record is soft-deleted — it is hidden from the active list and POS terminals but can be restored later using the "Show Deleted" filter.

[!WARNING] Records linked to active transactions or other modules cannot be deleted. The system will display an error if deletion is not allowed.


How to Add a New Online Menu

  1. Navigate to Online Menu Setup from the sidebar menu.

  1. Click the + Add New button (green button).

  2. Fill in the required fields in the form.

  1. Fill in any optional fields as needed.

  2. Click Save to create the new online menu.

Expected Result: The new online menu appears in the list and is available for use across the system.


How to Edit a Online Menu

  1. Navigate to Online Menu Setup from the sidebar menu.

  1. Click on the name or code link (blue text) of the record you want to edit.

  2. The edit form opens with all current values pre-filled. Modify the fields as needed.

  1. Click Save to apply your changes.

Expected Result: The online menu is updated and changes take effect immediately.


FAQ

Q: Why is the QR menu not updating for customers? A: Changes to the online menu require a save and may take a few minutes to propagate. Clear the browser cache if testing.

Q: Can I have different menus for different outlets? A: Yes. Each outlet can have its own menu configuration in Menu Setup.

Q: How do I temporarily disable QR ordering? A: Toggle the ordering feature off in Ordering Setup for the specific outlet.
