Chapter 6: User Setup — 6.1 User List

Use List to manage and configure this feature in your EQuipWeb system.

The User List shows everyone who has access to your EQuip system — from cashiers to managers. Here you can add new staff, reset passwords, assign roles, and control which outlets each person can access.

When to use this: When you need to add new users, update user details, assign roles, or manage user accounts.

Prerequisites

  • Roles must exist (User Setup > Role Setup)
  • Outlets configured for user assignment

User List

📝 General Description

This page displays a data grid of all user accounts. Each user has a username, assigned role group, account status, and password management information. From here, administrators can create, edit, deactivate, and manage user access across the entire system.

6.1.1 Data Grid Columns

6.1.2 Add / Edit User

Click + Add New to create a new user, or click a Username link in the data grid to edit an existing user. The form page opens:

How to Edit a user

  1. In the User List page, find the user you want to change.

  1. Click the blue username link link. The edit form opens — it looks the same as the "Add New" form, but all fields are already filled in with the current values.

  1. Change the fields you need to update.

  2. Click Save to apply your changes.

Expected Result: The user account is saved.

[!TIP] To make changes, just click the name of any user in the list — the same form opens with everything already filled in. Change what you need and click Save.

💡 Example

Scenario: A new cashier joins the team and needs POS access at the Tampines outlet only.

Setup:

  1. Navigate to User List → Click + Add New.

  1. Fill in:

  • Username: 4 (short numeric for quick POS login)
  • Display Name: Sarah Lim
  • Password: changeme123
  • Confirm Password: changeme123
  • Group Name: Cashier
  • Status: Active
  • Mobile: +6598765432

  1. Set Accessible Outlets → Select Tampines Mall only.

  1. Toggle Force Password Change → ON (so Sarah sets her own password on first login).

5. Click Save.

  1. Sarah can now log in to the POS at Tampines Mall with username "4".

[!TIP] For POS cashiers, use short numeric usernames (1, 2, 3, 4...) so they can log in quickly using the numeric keypad. Use descriptive usernames for backend users who log in via EQuipWeb.

[!WARNING] Deleting a user does not delete their transaction history. All past sales, voids, and actions remain attributed to the deleted username in reports and audit logs.

[!IMPORTANT] When a staff member leaves the company, deactivate their account (set Status to Inactive) rather than deleting it. This preserves the audit trail while preventing unauthorized access.

How to Add a New User

  1. Navigate to User Setup from the sidebar menu.

  1. Click the + Add New button (green button).

  2. Fill in the required fields in the form.

  1. Fill in any optional fields as needed.

  2. Click Save to create the new user.

Expected Result: The new user appears in the list and is available for use across the system.


How to Delete a User

  1. Navigate to User Setup from the sidebar menu.

  1. Click on the name or code link (blue text) of the record you want to delete.

  2. In the edit form, scroll down to the bottom.

  1. Click the Delete button (red button).
  2. A confirmation dialog appears — click Yes to confirm.

Expected Result: The user is soft-deleted — hidden from active lists and POS but can be restored later.

[!WARNING] Records linked to active transactions or other modules cannot be deleted. The system will display an error if deletion is not allowed.


FAQ

Q: A user is locked out — how do I unlock them? A: Go to User Setup > Locked User to view and unlock locked accounts. Accounts may lock after multiple failed login attempts.

Q: Can a user have multiple roles? A: Each user is assigned one role. To combine permissions, create a custom role with the needed privileges in Role Setup and Privileges Setup.

Q: Why can't a user see certain menus? A: Their role may not have the required privileges. Check Privileges Setup for the user's assigned role.
